Your details are yours. We collect only what we need to quote, book and carry out your clean — we never sell your information, and you can ask to see or correct it any time.

This policy explains how APEX CARPET CLEANING LIMITED (trading as ApexClean — "we", "us") handles your personal information. We follow the Privacy Act 2020 and its Information Privacy Principles. It sits alongside our Terms & Conditions. Any questions, get in touch and we'll help.

1. What we collect

We only collect what we need to do your job and run the business properly. Typically that's:

  • Your contact details — name, phone, email, and the service address.
  • Job details — what needs cleaning, the condition of the carpets, upholstery or rooms, access notes, and anything you tell us so we can quote and clean safely.
  • Booking and payment records — quotes, invoices and receipts. We're normally paid by cash, EFTPOS or bank transfer. As a rule we don't collect or store card details — only in an exceptional case by mutual arrangement, and even then they're handled by our payment provider, not held by us.
  • Our correspondence — texts, emails and notes about your booking.

We collect this straight from you — when you request a quote, book, or talk to us.

If you start a quote online and don't finish it, we keep what you'd already entered — including your contact details — so we can pick it up if you come back, and so we can check nothing on our end went wrong. Section 2 says what we do with it, and section 4 says how to stop us using it.

2. How we use it

We use your information to:

  • Prepare your quote, confirm your booking, and carry out the clean.
  • Invoice you and keep proper financial records — we use accounting and invoicing software to do this.
  • Stay in touch about your job and follow up afterwards (including our 7-day guarantee).
  • Look into a quote you started but didn't finish — in case the price came out wrong, something confused you, or our form let you down. If we get in touch about one, it's to help you finish it or to fix a problem, and it's one message, not a campaign.
  • With the reminder in §4, occasionally let you know about discounts, new services, or other updates we think you'll find useful.

That's it. We don't use your information for anything you wouldn't reasonably expect from a cleaning service.

3. Photos and video

Good before-and-after photos are part of how we show our work — here's exactly how we handle them:

  • We photograph the work, not you. We take before-and-after photos of the carpet, upholstery or area we've cleaned. We frame them on the cleaning result and take care to keep out anything personal or identifying — no family photos on walls or shelves, no documents, and nothing that would identify you or point to your address.
  • We may use those work photos on our website or social media to show the results we get. We treat these as anonymous work photos — and if you ever spot one you'd rather we didn't show, just tell us and we'll take it down.
  • Your face or voice — only with your say-so. We won't publish any photo or video that shows or identifies you unless you've clearly agreed — for example, if you kindly offer a video interview or testimonial. That's always your choice, and you can withdraw it later.
  • Just ask. Don't want any photos of your job used publicly? Tell us and we'll keep them internal, no problem.

4. Offers and updates — and how to stop them

As one of our customers, we may occasionally send you a discount, tell you about a new service, or share a useful update — by text or email. Every message includes an easy way to unsubscribe, and you can opt out any time by replying, using the unsubscribe link, or just telling us. Opting out of marketing won't affect the service messages you need about a booking you've made.

If you started a quote and didn't finish, you're not on a list. We may message you once to ask whether the price was the problem or something else was, and to offer help — that's it. Say the word and we'll stop and delete what we hold; see section 7.

5. Who can see your information

We never sell or rent your information, and we don't share it for anyone else's marketing. The only people who handle it are:

  • Our team — the person quoting, cleaning or invoicing your job.
  • Our accounting and invoicing software provider, which securely stores our billing records on our behalf.
  • Others only where we genuinely have to — for example if the law requires it, or to recover a seriously overdue account. That's rare, and limited to what's necessary.

6. Keeping it safe, and how long we keep it

We take reasonable care to keep your information secure and limit access to those who need it. We keep booking and contact details while you're a customer and for a reasonable time after, and we keep financial records for as long as the law requires (tax records must be held for seven years). When we no longer need something, we dispose of it securely.

7. Your rights — and what we hold on to

Under the Privacy Act 2020 you can, at any time, ask to:

  • See what we hold about you, and get a copy.
  • Correct it if anything's wrong or out of date.
  • Unsubscribe from offers and updates (§4).

You can also ask us to delete your information, and we'll remove what we're able to. Some records we keep regardless — invoices and financial records we're required to hold for tax, and anything we may need to resolve a dispute or meet a legal obligation. We can't delete those until we're no longer required or entitled to keep them.

To make any of these requests, just send us a message through our contact page and we'll sort it, usually within 20 working days. If you're ever not happy with how we've handled your information, you can contact the Office of the Privacy Commissioner (0800 803 909 / privacy.org.nz).

8. Our website, cookies and analytics

When you use our online quote tool, the details you enter come to us so we can prepare your estimate — that's the same information covered above.

Our site uses Google Analytics to understand how people find and use it — which pages get read, which searches bring people here, what gets clicked — and Google Ads to measure whether our advertising is actually working. Both set cookies in your browser.

Measuring advertising means connecting a booking back to the ad that brought you here. So if you arrived from one of our ads and then sent a quote request, tapped our phone number or used the contact form, that action is reported to Google as a conversion, along with the value of your estimate — that is how we tell which ads bring worthwhile work and which are just costing us money. To help match a booking to the right click, we may also send Google the contact details you entered — your name, email address, phone number and address, in scrambled (hashed) form: a one-way code, not the details themselves. We never send your photos, or the notes about what needs cleaning.

We may also show our ads to people who have already visited this site. That uses the same cookies.

Google processes this information on servers outside New Zealand. We use it only to run and measure our own advertising. We don't sell your information, and we don't hand it to anyone else for their own marketing.

You can turn cookies off in your browser at any time, or opt out of Google Analytics entirely using Google's opt-out add-on. Neither affects your quote or your booking.

9. Changes to this policy

We may update this policy from time to time. The current version always lives on this page, with the "last updated" date above.
